Tyrrells Property Inspections empowers its workforce with Salesforce connected app


Established in 1983, Tyrrells Property Inspections provides building inspection and reporting services. The organisation’s field-based consultants inspect and report on the condition of a building being purchased by an individual or organisation.

Consultants provide technical advice and solutions to fix defects in new and old buildings, check plans prepared by an architect or designer, and prepare architectural plans for buildings or renovations. They also provide dilapidation and pre-lease reports and help clients through problems with the maintenance of strata or investment properties.

When consultants arrive at a new building site, they gather information about the quality of the building under construction and look for defects and incomplete work at specific stages of construction.

Historically, these consultants would use dictaphones to record their findings. Voice files they created would be sent to a third-party typist who would transcribe the files and give them back to consultants so they could create inspection reports.

This was an arduous and time-consuming task for these staff who needed to complete reports for clients within 24 to 48 hours.

In 2014, Tyrrells decided to digitise the process, purchasing the Avoka customer experience software suite. Around 18 consultants in Sydney, the Central Coast and Newcastle used the software to generate reports which would be saved as PDF documents.

“The software was good for repetitive-type forms but for a whole host of other reasons, it didn’t do what we needed it to do so we were very limited in our options,” says Stephen Ransley, managing director at Tyrrells.

Tyrells empowers its workforce with Salesforce connected app

In April 2016, Tyrrells Property Inspections engaged Salesforce Platinum Partner Tquila ANZ to create a new mobile application for its consultants. The app was built on the Salesforce Sales Cloud CRM solution.

The Tyrrells app – which runs on a smartphone or iPad device – enables consultants to produce a ‘construction-stage’ progress report. This inspection report is produced at a building’s ‘lock-up’ stage and gives builders a last opportunity to rectify defects before the house or unit is completed. Data capture includes free form input; promoted defect text and dictation is currently in development. Timing is critical before defects become an issue.

Tyrrells will soon launch a ‘final inspection report’ in the app, enabling consultants to complete another important inspection at the final stage of construction.

1,500 to 2,000 “progress reports” are completed each year with a similar number of “final inspection reports”. Automating this process for clients is crucial to the ongoing success of the business.

30 different types of reports are produced with 10 classed as “mainstream reports”.

40% of all reports created will be covered within the current App. Roll-out of other key reports will be completed in the first quarter of 2017.

Another important feature is that the capture fields for each report type can be controlled by user defined templates from within Salesforce.

Automated, paperless solution slashes job completion time by 30 to 45 minutes and improves accuracy. Typists and other admin people can now be re-tasked to the benefit of the client and our business.

Tyrrells app is highly flexible. Consultants enter any piece of information onsite without the need for a paper “check sheet”, necessary with the previous system.

The use of paper is eliminated at all stages of the inspection process. The Salesforce Sales Cloud CRM system at the back end automatically generates reports, which are immediately emailed to the client.

Processes have been streamlined as consultants no longer need to spend significant amounts of time typing out the report in a Microsoft Word template and emailing it to the client.

Every step is now generated automatically ensuring clients receive their reports on the morning of the day after inspection. Salesforce reports and dashboards implementation gives clients a 360° view of key metrics.

Local app runs online and offline - essential when consultants work with no internet connectivity

The cloud-based app runs locally on a smartphone or tablet device, which means Tyrrells doesn’t need to hire technical teams to manage back-end technology infrastructure.

A full job can be completed offline and when Internet connectivity is available, the app will sync up, connect to the cloud and generate the reports. This gives the business the peace of mind that consultants can complete reports even when there’s no access to the Internet.
